We are committed to ensuring that you have full control over how your personal information is collected, processed, and used. - Who is responsible for data processing?
zooplus SE, the Head Office, together with the Local Office you apply to and your potential future employer, are jointly responsible for managing your application and any potential employment. For applications to Head Office positions, or if you are visiting our Careers site or joining our Talent Network, zooplus SE acts as the sole as the competent and legally responsible company.

2. What personal data do we process, for what purposes and on what basis?
Depending on your interaction with our Careers site -whether you are visiting the website, and/or applying for a job, and/or joining our Talent Network- we may process distinct categories of personal data. Below, we explain what data we collect in each case, why we process it (purposes), and the corresponding legal basis.
2.1 Personal data of web visitors
When you visit our Careers site, we may collect and process certain personal data, depending on your cookie preferences. This may include:
- IP address
- Domain name
- Device/browser details
- Source website/referrer
- Usage patterns and interactions on the site
If you expressly allow access to your location, we can find job vacancies that are close to you. To do this, your browser collects your IP address and sends it to the respective location service provider (e.g., Google).
Purposes:
We use this information to maintain the proper functioning and security of our Careers site, support smooth navigation, and enhance your overall experience. In addition, we analyse visitor behaviour to optimise site performance and ensure technical stability.

2.2 Personal data of Talent Network members
If you join our zooplus Talent Network, including signing up for job alerts or expressing interest in future opportunities, we may process the following personal data:
- Personal identification and contact data
- Business area of interest
- Career preferences (e.g., location, part-time or full-time)
- Communication preferences
- Resume
- Any information you voluntarily share when interacting with us
Purposes:
We process this data to keep you informed about relevant job opportunities and company news, share personalised content and updates about careers at zooplus, invite you to events or networking opportunities, and maintain your profile for future recruitment processes.
Legal basis:
- Your consent – Art. 6(1)(a) GDPR
You can revoke your consent at any time by deleting your account in “My account” section.
2.3 Personal data of job applicants
Whether you apply for a position through our Careers site, via a recruitment agency, professional networks, or other channels, we may process the following personal data (some or all may apply to you):
- Personal identification
- Contact data
- User account information
- Education and skills
- Professional experience and affiliations
- Job interview notes
- Assessment results
- Citizenship or immigration information
- Employment contract information
- Screening data
- Referral data from zooplus employees
- Other information you may voluntarily share in connection with your application
Purposes:
We process this data to manage and administer your application throughout the recruitment process. This includes evaluating your skills, qualifications, and interests for the position applied for and/or other roles within the zooplus group; organizing interviews; conducting assessments; preparing employment contracts and onboarding; performing background checks; assisting with visa or work permit processes; and screening or cross-checking against sanctions lists.
Legal basis:
- To take steps prior to entering into an employment contract, pursuant to Art. 6(1)(b) GDPR
- To comply with legal obligations (e.g., reporting to employment agencies), pursuant to Art. 6(1)(c) GDPR
- Our legitimate interests in managing and improving the recruitment process, pursuant to Art. 6(1)(f) GDPR
3. Where do we obtain your personal data?
Most of the personal data we process is provided directly by you when you apply for a position. We also generate certain data during the recruitment process, for example, through interviews or job-related assessments.
In addition, we may receive personal data from third parties, such as head-hunters or recruitment agencies with whom we have a contractual relationship and to whom you have given consent to share your information with prospective employers like us. We may also use information that you have made publicly available on professional and career platforms (e.g., LinkedIn).
Furthermore, we may receive personal data from a zooplus employee who has referred you as part of our employee referral program.
4. Who gets access to your personal data?
Your data is accessible only to the individuals and departments within the Head Office and corresponding Local Office that are directly involved in the recruitment process.
We use trusted third-party service providers to support our recruitment process. This includes hosting our Careers site and operating our applicant tracking system (ATS) to manage job applications. These providers process personal data on our behalf and in accordance with our instructions, under appropriate data processing agreements pursuant to Art. 28 GDPR.
Additionally, your personal data can also be processed, for example, by LinkedIn and Indeed to allow for the ‘Apply with LinkedIn’ and ‘Apply with Indeed’ functionalities. LinkedIn and Indeed may use cookies. You can find their privacy policies on the following websites:

Where relevant, we may also share your personal data with third parties acting as independent controllers and in accordance with data protection laws, including:
- HR service providers
- Insurance providers and brokers
- Employee benefits providers
- Governmental bodies or law enforcement agencies
- External advisors (e.g., legal counsel, accountants)
5. How long do we store your data?
If your application is successful: Your personal data will be retained for as long as necessary to manage your employment relationship, in accordance with the local employment regulations applicable in the country of the zooplus Local Office where you work.
If your application is not successful and you have not given consent to be part of our Talent Network: We will keep your personal data for a limited period after the recruitment process ends -no longer than the timeframe specified below- under our legitimate interest (Article 6 (1)(f) GDPR) to be able to prove the correctness of the application process and compliance of our recruitment procedure.
If your application is not successful and you have given consent to be part of our Talent Network: Your data will be included in our Talent Network pool and retained until you revoke your consent or until the timeframe specified below, for the purpose of considering and contacting you for future job opportunities. You can withdraw your consent at any time.
For Austria, Germany, and Poland, candidate data is retained for 6 months after an unsuccessful recruitment process, while profiles in the Talent Network pool are kept for 12 months. In Spain, both unsuccessful recruitment data and Talent Network profiles are retained for 12 months. For the UK, the retention period is 6 months for unsuccessful recruitment and 6 months for Talent Network profiles.
6. Automated decisions about you and usage of AI-Tools
No, we do not use automated decision-making, including profiling, in our application process.
To improve efficiency, we use artificial intelligence and machine learning solutions that support candidate scoring and job matching. The pre-selection is based purely on predefined, objective criteria and job requirements. However, all decisions regarding the progression in the application process are ultimately made by our recruitment team and are always carried out under human supervision. zooplus is always aware of its obligations as a deployer of AI applications and provides the necessary AI literacy to those entrusted with using the application.
You are not legally or contractually required to provide your data. Please note, however, that without complete information, we may be unable to consider your application.
7. Do we transfer your data outside of the EEA and UK?
Yes, your personal data may be transferred to countries outside the EEA and the UK. Such data transfers will only take place where an adequate level of data protection is ensured -either on the basis of a valid adequacy decision issued by the European Commission or the UK Government, or through the implementation of Standard Contractual Clauses (SCCs).
8. What are your rights over your personal data?
You always have the right to request confirmation from us as to whether we are processing personal data about you, and you have the right to information about your data. In addition, you can request the rectification, deletion and restriction of data or object to the processing of data. In addition, you have the right to revoke your consent to data processing at any time or to demand the portability of your data.
Furthermore, you have the right to contact a supervisory authority in the event of data protection violations.
